Run safeguarding the same way in every school.
Pupil Protect gives your trust one view of every school’s figures, compliance and MIS connection, with each school’s categories counted in shared reporting groups. Coming soon: one set of categories published to every school. Each school’s designated safeguarding lead (DSL) still owns its records, and decides what happens to them.
For multi-academy trusts, federations and other groups of schools in England.
- Renamed “Domestic violence” to “Domestic abuse” in Child protection
- Added “Private fostering” under Cause for concern
- Archived “Sexting” in Child on child. Records that use it keep it.
Coming soon: set categories once, for every school
Your trust safeguarding lead keeps one list of concern categories for every school. For each category, choose whether it is locked or whether schools can add their own subcategories.
- Publish when you’re readyChanges wait in a draft. Preview the concern form as staff will see it, then publish to every school at once.
- Old records keep their categoryRenaming or archiving a subcategory never changes what a record was logged with.
- Every DSL is toldEach school’s DSL gets a summary of what changed, and the publish is recorded in the trust audit log with your name.
- Reports compare like with likeAvailable now: each school’s categories count in one reporting group in Insight, and trust admin shows how every school’s categories map. The groups line up with the statutory categories of abuse used in local authority returns such as the annual section 175 safeguarding audit.
| Subcategory | In use at | Counts in Insight as | Status |
|---|---|---|---|
| Presentation / hygiene | 8 of 8 schools | Welfare | Active |
| Attendance | 8 of 8 schools | Attendance | Active |
| Behaviour change | 8 of 8 schools | Welfare | Active |
| Home issues | 8 of 8 schools | Family circumstances | Active |
| Private fostering | Not yet | Family circumstances | New, not published |
Coming soon: when a school adds its own, you decide together
Where you allow it, a school can add a subcategory for its own staff. You see each one in trust admin, with how often it’s used, and choose what happens next.
| Subcategory | Added by | Under | Records | Decision |
|---|---|---|---|---|
| Young carerAdded 12 Sep by the school’s DSL | Oakfield Primary | Cause for concern | 14 | Leave localRecategoriseAdopt trust-wide |
| Uniform and equipmentAdded 2 Sep by the school’s DSL | Westbrook Academy | Cause for concern | 9 | Adopted, not published |
| Gambling harmAdded 19 Sep by the school’s DSL | Riverside High | Mental health | 6 | Kept local to Riverside High |
Offer it at every school. The school’s concerns keep it, and their staff see no change.
Suggest a trust subcategory for the school’s concerns instead. Their DSL approves it, changes it or declines.
Keep it at that school only. Its concerns still count in the right reporting group in trust reports.
How recategorising works
The school owns its records, so nothing moves without its DSL’s approval. The trust never sees or changes a school’s records directly.
- 1You suggest where the concerns should goWith a short message to the school’s DSL explaining why.
- 2The school’s DSL decidesThey get an alert, look through their own concerns, and approve, change or decline.
- 3The concerns move in one goEach record’s history shows the old and new category and who approved the change.
- 4Insight counts followFrom that day. Past reports aren’t rewritten.
The school’s DSL sees the list of their own concerns before approving. The trust doesn’t.
See every school, without seeing every child
Insight shows the trust what is happening across its schools as counts only. It never shows pupil names or what a record says.
- Compare schools fairlyConcerns per 100 pupils, plans, overdue actions and how quickly urgent concerns are opened.
- Spot what’s risingTrends against the same point last year, by reporting group, phase and school. Notable changes are pointed out at 15% or more. Coming soon: trends by year group.
- Ready for the boardChoose the sections of a board report, then print it or save it as a PDF for trustees. Small numbers are shown as “fewer than 5”.
One sign-in for staff who work in more than one school
A deputy DSL who covers a second school, or a trust lead who visits them all, signs in once and chooses where to go.
- One password and one two-step codeSomeone with access to more than one school signs in once and chooses where to work.
- Coming soon: linking accounts yourselfStaff will link their school accounts themselves, after proving they own each email address. An admin won’t be able to link accounts for someone.
- Each school still controls accessEach school’s admin sets the person’s role there, and can remove access to their school at any time.
- Records never mixStaff at one school can’t see another school’s records, even with access to both.
One password and one two-step code for every school you work in.
Each school keeps its own MIS connection
Pupils, staff, contacts and attendance come from each school’s own MIS and stay read-only in Pupil Protect. Each school connects and syncs its own MIS, four times a school day and overnight. The trust sees every connection in one place.

Compliance across all your schools
See which schools have met each safeguarding measure, what’s due and what’s overdue: the single central record, KCSIE confirmations, DSL training, the policy review, the annual audit and governor link visits.
Figures are worked out live from each school’s Pupil Protect. Send a reminder to a school’s DSL and headteacher from the same screen, and add compliance to your board report. Coming soon: filtering and monitoring.

Bring schools on one at a time
There’s no need to move every school on the same day. Set up the trust first, then add schools in the order that suits you.
- 1Set up the trust
Agree your categories, policies and roles with your DSLs. Every school starts from the same 17 recommended categories and 7 starting roles.
- 2Bring the first school on
Its admin connects the MIS, checks who can see what and invites staff. Coming soon: moving its existing records across from another system.
- 3Add the next school
It starts from the same recommended categories and roles, and appears in Insight once it goes live.
Trust pricing
Each school is priced on its own roll. The trust discount applies to the total, and Insight is included.
A school that joins mid-year is added at its own price for the rest of the year, and your discount updates at renewal.
- 5%off the total for 2–4 schools
- 7.5%off the total for 5–9 schools
- 10%off the total for 10 or more schools
See it with your trust in mind.
